Position Summary</sp an>

·        Performs various appointment and access-related duties to include, but not limite d to,scheduling,canceling, rescheduling, general appointment information , anddirections.

·         Coordinateservices across multiple DUHS and PDC clinical lo cations, departments andproviders.

·         Serviceoriented tasks are transactional a ndproductivity-based.

·        </ span>Professionallyand effectively, communicate verbally an din writing with patients, referringproviders, colleagues, and Duke Prov iders.

·        Activelyidentify, listen, and understand the needs of the caller.</spa n>

·        Owncalls through the resolution of requests.

·         Proactivelyresolve conflict, utilizingemo tional intelligence and positive language based onDuke Health Access Ser vices values.

·        </s pan>Understandand effectively utilize appropriate medical terminol ogy.

·         Proactivelyoffer alternative providers or locations when appropriate.</s pan>

·        Utilize smultiple technology applications andsystems to perform scheduling tasks to include but not limited to:  EPIC, Cadence, Op-time, Template changes, On Base and TelephonySystems such as Finesse, TeleOpti, and ZOOM.

 

Role s and Responsibilities

 

 Scheduling an appointment

·         Identifythe caller and relationship

·        Identifythe patto the patient, using compliance-based scheduling guidelines.

ie nt using 2 identifiers in accordance with compliance guidelines.

·        Registerthe patient by entering, verifying and/or updating demographic and guarantor information including emergency contacts.

·        Gatherspecial needs informationand coordinate the provision of necessary supportservices, i.e., disabilitie s, language services, other special needs.

·        Translatea patient’s requestusing clinical terminology and specialty-specificguidelines that are recognize d by our information systems and approved by ourclinical leadership.</sp an>

·        Usesched uling questionnaires, scheduling guidelines and other scheduling-related resources to conduct an advanced appointment search.

·        Determinethe appropriat e provider, appointment template,and slot while respecting provider,ref erring provider, and patient preferences.

·        Coordinateand, where appropriate, schedule necessary tests and studies associated with aclinic visit.</spa n>

·        Understan dand respond appropriately to scheduling –related warning messagesto ens ure  provider template guidelines are adhered toandthe pati ent is scheduled with the right provider in the right time slot.

·        < span>Completethe appointment by resolving all registration and schedulin g warning messages,  confirming referring provider,the loca tion ofthe visit, directions and additional scheduling instructions assp ecified byspecialty.

Revenue Cycle:

·         Collector verify insurance information.

·        Initiatean eligib ility check for new insurance entries.

·         Communicatesensitive, healthcare relat ed financial obligations of the patients when anon-contactedinsurance, s elf-pay or Out-of-County Medicaid, VeteransAdministration, or Worker’s C ompensation coverage is realized.

o   </s pan> Follow workflows to include creati ng areferral for a financial review, and trace the progressof the referr al untilthe patient requires an appointment to be scheduled.

< p>·        Identifywhois r esponsible for the payment for the bill and enter the information inthe guarantor section.

·        </span >Notifypatient of financialresponsibilityforthe visit toinc lude the payment thatwill be required at the time of the visit.</ p>

 

Working from a worklist:

·        Analyzework lists an d prioritize by Emergent, Urgent, and Routine request.  </s pan>

·        Worklis ts include:

·        </span >Faxedreferral request from strategic partners, medical practices and programs.

·        </sp an>Referralrequest submitted by internal Duke Providers for new pa tient appointments.

·        </spa n>Patientsneeding an appointment rescheduled due to a chang e in the provider’s schedule.

·        </ span>Patientsneeding a future appointment when provi der schedules are not yet published.

·         Patientsneeding a sooner appointment.</s pan>

·        Useall available resources to contact the patient, including phone numbers,MyCh art account, and email while following compliance guidelines. </sp an>

·        P rovidedetailed information about the reason for the call.  Be prepared for questions, remain attentive,and resolve complex tasks. < /span>

·        Ifthe patient is ready to schedule, make the appointment and/or coordinate an yrelated tests or labs, following approved schedulingalgorithms. 


Quality and Performance Measures:

·        Achievecall quality standards job results, recognizing calls arerecorded andscored.

·        Meet quality and performance expectations.

·         Adhereto publisheddaily work schedules and percentage of availability scores. 

·        Achieveservice measures such as lower percentage of abandoned calls, callduration andcallslost.

Education

A high school diplom a or equivalent is required. College orcompletionof post-secondary edu cation is preferred.


Experience

A minimum of 2 years of customer service experience or 1 year ofrelevant healthcare and/or ca ll center experience.
