Job Summary:

 

OUE-UHSS Assistant Director for Health and Safety (Level 13) Undergraduate Health and Safety Support (UHSS)

The OUE-UHSS Assistant Director for Health and Safety reports to the OUE-UHSS Director of Health and Safety, helping to coordinate risk assessment and mitigation and health and crisis preparedness, training, and response plans for undergraduate programs and students undertaking Duke-sponsored travel domestically and abroad. The Assistant Director supports the Director in providing 24/7/365 emergency response for the Global Education Office (study abroad/away) and Duke Immerse, as well as other Duke undergraduate programs with experiential components.

Job Responsibilities:

  • (20%) With the OUE-UHSS Director, the OUE-UHSS Assistant Director conducts risk assessments as needed for current or prospective Duke experiential education program locations, activities, and travelers. The Assistant Director assists OUE program managers and other administrators in mitigating identified risk factors in Duke-supported travel.
  • (15%) The OUE-UHSS Assistant Director assists the OUE-UHSS Director in the development and application of principles of international travel emergency preparedness and response plans for Duke-sponsored undergraduate travel. The Assistant Director works with assigned programs to ensure that Duke-supported travel supported by UHSS is compliant with laws, regulations, Duke policies, and current industry-recognized best practices related to health and safety for off-campus programming.
  • (15%) The OUE-UHSS Assistant Director maintains UHSS systems, records, and documentation for student health and safety management. This includes developing and maintaining systems for tracking travelers, health concerns, risk mitigations, and incidents across programs; recording and reporting on incidents; and conducting regular meetings and check-ins with campus offices such as DukeReach, Duke Student Disability and Access Office (SDAO), the Office of Student Conduct, Student Health, OIE, Duke Legal, and Corporate Risk Management on the alignment of UHSS and university policies and procedures.
  • (15%) The OUE-UHSS Assistant Director liaises between assigned undergraduate programs and Duke Legal to develop and modify participation agreements and other student participation forms, to represent best practices in risk and liability disclosure, legal risk mitigation, and student/parental consents.
  • (10%) The OUE-UHSS supports the OUE-UHSS Director with emergency response to crises abroad and at domestic sites, including after-hours calls to the UHSS 24/7/365 hotline. Continuously monitor the political, health, safety and security conditions abroad in locations where students are studying or propose to do so for academic credit at Duke. The Assistant Director apprises relevant University administrators of changing

 

safety conditions abroad and recommends and manages appropriate and timely responsive actions.

  • (10%) The OUE-UHSS Assistant Director updates and maintains health, safety, and security information in UHSS publications, including faculty and student handbooks, the UHSS and program-specific websites, program-specific handbooks and resources, and other resources so that information is accurate, consistent, and easily available to stakeholders. The Assistant Director designs emergency preparedness and response wallet cards for students and staff.
  • (5%) The OUE-UHSS Assistant Director conducts regular trainings, table top exercises, and emergency drills for Duke undergraduate program leaders, program administrative staff, and affiliated agents to ensure that all are familiar and comfortable with Duke emergency protocols and response. The Assistant Director tracks stakeholder compliance with required trainings.
  • (5%) With the OUE-UHSS Director, the OUE-UHSS Assistant Director coordinates and/or monitors internal communications regarding particular crises or incidents to minimize confusion and maximize clarity and efficiency. The Assistant Director ensures that UHSS’s response to all crises and incidents is carried out effectively and consistently, according to both UHSS and Duke protocols.
  • (5%) The OUE-UHSS Assistant Director regularly reviews industry best practices, trends, and discussion regarding student health, safety, and security in a global context, participating in national and international forums and discussions.

 

Desired Qualifications:

 

Strong understanding of study abroad/experiential learning operations, higher education, global crime and safety concerns, risk assessment protocols, and emergency response coordination. Strong independent judgment, planning, and decision-making skills. Ability to stay calm under pressure and exercise diplomacy during crisis resolution. Ability to communicate clearly, effectively, tactfully with individuals at all levels. Strong written, organizational, and interpersonal communication skills. Ability and discipline to handle confidential and personal information with discretion. Incorporates an anti-racist and anti-oppressive lens into work responsibilities and processes. Experience working directly with people from diverse racial, ethnic, cultural, and socioeconomic backgrounds. Ability to serve as an advocate for individuals of all ethnicities, genders, ages, and backgrounds.

 

Three to five years' related experience in a relevant field such as study abroad, student program management, emergency coordination, law, international travel and security, campus crisis management, and/or risk management. Experience developing or revising policies and procedures in a university setting. Experience developing emergency plans and coordinating international crisis response efforts. Experience designing and facilitating trainings, workshops, or orientation sessions.

Education

Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience

Work requires the ability to plan and administer programs and direct program activities within a specific functional area, generally acquired through four years of related experience.  OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
