We are seeking a highly motivated and energetic person to provide management oversight for the financial, administrative, and academic aspects of the Duke Medical Physics Graduate Program. We are one of the leading medical physics educational programs in the world consisting of ~ 60 students (30MS and 30PhD) and 60 faculty with primary appointments across multiple schools. The position requires excellent people and management skills relating to interactions with a diverse and active graduate student and faculty body.  The position reports to the Program Director with administrative oversight in the Department of Radiation Oncology, and involves working closely in support of the Associate Director and Director of Graduate Studies.

 

Responsibilities:

 

  • Create a welcoming and effective collegial atmosphere for students and faculty, suitable for a top academic educational graduate program.
  • Manage $4 million budget and advise Program Director on budgetary matters and provide recommendations/guidance on program requirements and expenditures.
  • Develop and manage short-term and long-term program operating budgets and projections. Prepare, analyze and present operational and financial reports. 
  • Supervise staff and work with Program Director and Director of Graduate Studies on human resource issues related to students and faculty.
  • Plan and manage program recruitment activities and admission process including the implementation of promotional/marketing strategies and Open House events.
  • Supervise the organization of various program events: lunches, dinners, receptions, seminars, symposiums, etc.
  • Plan, organize, and coordinate student academic and professional orientations, Career Day and Professional workshops.
  • Manage the program intranet and external websites
  • Facilitate internal / external communications, maintain directories/handbooks, and develop program materials and announcements.
  • Oversee program property management, renovations, and contact/vendor services.

 

Education / Skills

 

Bachelor’s degree

Minimum of 4 years of finance, academic administration, supervisory related experience

Ability to effectively manage staff and relate to a diverse student and faculty body

Financial and grants management, data management skills

Knowledge of medical and graduate-level education

Experience with accounting systems and sap-r/3

Proficiency in Microsoft Programs: Word, Excel, PowerPoint, Access

Education

Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience

 

Work requires the ability to plan and administer programs and direct OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE. program activities within a specific functional area, generally acquired through four years of related experience.
